We are the data controller for the personal information described in this policy. Who this policy covers
This policy explains how we handle personal information belonging to visitors to this website, people who contact us, and client contacts. If you register with us for work-finding services, the Candidate Privacy Notice applies in addition to this policy and gives fuller detail on how candidate information is handled.
What we collect and why
Enquiries and workforce requests
When you use our contact or Request Workforce forms we collect the details you provide: typically your name, company, email address, telephone number and the details of your requirement. We use this information to respond to you and to provide our services, on the lawful basis of taking steps at your request before entering into a contract, and our legitimate interest in running our business.
Candidate registrations
When you register for work we collect your name, contact details, trade, availability, cards and tickets held, and optionally a CV. See the Candidate Privacy Notice.
Technical information
Our hosting provider keeps short-lived server logs (such as IP address and pages requested) for security and to keep the website running. This website does not use analytics or advertising cookies; see the Cookie Policy.
Who we share information with
- Clients: if you are a candidate, we share relevant details with clients for the purpose of placing you, as described in the Candidate Privacy Notice.
- Service providers: IT suppliers who process data on our instructions, such as our website hosting provider and our email delivery provider (used to deliver form submissions to our inbox), and our outsourced payroll provider where relevant.
- Authorities: where we are legally required to do so, for example right-to-work compliance or fraud prevention.
We never sell personal information.
International transfers
Some of our service providers may process data outside the UK. Where that happens we rely on recognised safeguards such as UK adequacy regulations or the applicable standard contractual clauses.
How long we keep information
- General enquiries and client contact records: up to 2 years after our last meaningful contact.
- Candidate records: as set out in the Candidate Privacy Notice.
- Records we must keep by law (for example financial records) are kept for the statutory period.
Your rights
Under UK data protection law you have rights to access, correct, erase, restrict and object to the processing of your personal information, and to data portability. Where processing is based on consent you can withdraw it at any time. To exercise any right, email omar@milestonerecruitmentgroup.com. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).
