Candidate Privacy Notice

This notice explains how Milestone Recruitment Group Ltd (trading as Milestone) handles your personal information when you register with us for work-finding services. It applies alongside our Privacy Policy. We act as an employment business (supplying temporary workers) and as an employment agency (permanent recruitment). We never charge candidates for work-finding services.
What we collect
At registration
- Name, email address, telephone number and postcode
- Trade or role, availability, cards and tickets held
- Your CV, if you choose to upload one
Before placement
- Right to work: your passport details and, where applicable, your Home Office share code, including evidence of the share code from the official government service. We are legally required to check and document your right to work in the UK.
- Qualifications: copies or details of your cards, tickets and certifications (for example CSCS, CPCS, NPORS, SSSTS, SMSTS, IPAF, First Aid) so we can verify them.
- References:two references from your most recent sites (the referee’s name, number, position and company), which we contact and verify.
- Payment details: the information needed to arrange payment through your chosen route (PAYE, CIS, umbrella or your own limited company), handled with our outsourced payroll provider.
- Drug & alcohol testing: where a client requires it, test results arranged on request.
Why we process it (lawful bases)
- To provide work-finding services you have asked for: taking steps to enter a contract with you, and our legitimate interest in matching candidates to roles.
- To meet legal obligations: right-to-work checks and the records we must keep as an employment business under the Conduct of Employment Agencies and Employment Businesses Regulations 2003.
- Where we process anything with your consent (for example keeping your details on file for future roles), you can withdraw consent at any time.
Who sees your information
- Clients: we share the details relevant to a placement (such as your name, trade, tickets and availability) with the client whose site you would work on.
- Referees: we contact the referees you provide.
- Payroll: our outsourced payroll provider processes your hours and payment; we collect timesheets from clients for this purpose.
- Service providers: IT suppliers who host our systems and deliver our email.
How long we keep your information
- Candidate records: up to 2 years after our last meaningful contact with you, after which they are deleted or anonymised.
- Right-to-work evidence: for the duration of any engagement and for 2 years afterwards, as required by Home Office guidance.
- Records required under the Conduct Regulations: at least 1 year.
CVs uploaded through the website are forwarded to our recruitment inbox and are not stored on the website itself.
Your rights
You have the rights described in our Privacy Policy, including access to your information and the right to ask us to delete it. Email omar@milestonerecruitmentgroup.comand we will respond within one month. You can complain to the Information Commissioner’s Office (ico.org.uk) at any time.
